Cancellation and Missed Appointment Policy

1. Purpose

Chi Integrative Clinic Ltd understands that circumstances may arise which require appointments to be cancelled or rearranged.

This policy aims to ensure fairness to both clients and the clinic while maintaining the availability of appointments for all clients.

 

2. Free 30-Minute Consultation

The initial 30-minute consultation is provided free of charge.

If you are unable to attend, you are requested to provide as much notice as possible so the appointment can be offered to another individual.

Repeated non-attendance may result in the clinic declining future free consultation bookings.

 

3. Cancellation of Paid Appointments

Clients may cancel or rearrange an appointment without charge by providing at least 24 hours' notice before the scheduled appointment time. Our policy is 24hour notice . However, we recognise that life happens and therefore offer one goodwill late cancellation or transfer within a 12 month period.

4. Cancellations with Less Than 24 Hours' Notice

Where less than 24 hours' notice is provided:

The appointment fee is normally non-refundable.

The clinic may, at its discretion, offer a transfer of the appointment in exceptional circumstances.

Examples may include:

Medical emergencies

Bereavement

Significant unforeseen events

Supporting information may be requested where appropriate.

5. Missed Appointments (Non-Attendance)

A missed appointment occurs when a client:

  • Does not attend.

  • Does not make contact.

  • Is unavailable at the agreed appointment time.

  • Missed appointments will normally be charged in full and are non-refundable.

 

However, the clinic reserves the right to exercise discretion where the client has not previously used their goodwill cancellation allowance.

 

6. Late Arrival

If a client arrives late:

The session may be shortened.

The full session fee remains payable.

Sessions may need to be rescheduled if insufficient time remains.

This decision will be made at the practitioner's discretion.

 

7. Cancellation by Chi Integrative Clinic Ltd

On rare occasions, the clinic may need to cancel or rearrange an appointment.

Where this occurs:

Clients will be offered:

An alternative appointment, or

A full refund if payment has already been made.

 

8. Exceptional Circumstances

The clinic recognises that unforeseen circumstances can occur.

Requests for refunds or appointment transfers outside this policy will be considered on an individual basis.

Any decision made under exceptional circumstances will not create a precedent for future cases.
